I sent out a questionairre asking about people's progress in finding
airfare to London as cycling there is difficult. If you don't have someone, we
are recommending Jill Robinson at National Travel.
We've worked with her before and she is coordinating with Greatdays, our
ground people in the UK, to meet people at the airport and to get them back to
the right airport at the right time. Also, if the flight is delayed,
etc.....

Just wanted to give you an update on group space.
All requests have been submitted, and am waiting on pricing. For you group it
appears from initial estimates from the airlines you best option will be to fly
from Dallas. I appears rates will be approximately $400.00 per person less from
Dallas than Abilene. As soon as I receive the final proposals I will forward
them to you.
From Jill at National Travel: The best group rate for your 40 travelers has been
offered by American Airlines. Following is the itinerary along with
restrictions. I went with the Dallas departure since the Abilene rate came in
at $1677.80.

The cost with taxes as they stand today
$1268.80 per ticket. Taxes can change, however it is usually only by a
few dollars. Taxes can never be guaranteed until ticketing. At this time I
have 40 seats on hold and would need a $300.00 per person deposit in our office
no later than Monday September 19 to confirm the space. We can reduce the
number of seats if neccessary.
The $300.00 per person deposit is totally
non-refundable. The balance of the fare would be due by April 10, 2012 along
with names as on passports/passport number/expiration date of passport/and
birthdate. Name changes will be permitted at a fee of $200.00 per name once
tickets are issued.
This space will only hold until Monday September
19, and will automatically cancel at 5pm eastern time without deposit.

I will be out of the office September 10-16,
however if you need assistance during that time Laura Romain my assistant will
be able to answer any questions.

) A note from Greatdays Travel Group regarding currency lock in
options (A note from Cindy: We decided that due to the deposit on the airfare being due at this time that most would be unable to pay off their trip early by Dec. 2. So we have selected Option 2. I know it is a gamble but read on to the remarks from Matt Straub at AAPAE)
Dear
Cindy,
Under
the payment terms of your contract each group is offered the option of locking
in a fixed rate USD/GBP for the remainder of their stage payments from August
2011. You now have two options to choose from which are:
Option 1 – Opt for a Fixed Rate
If any
group would like a quote for this option they need to request it in writing to
the Managing Director at the below address, to reach him no later than Friday
16th September. Following this date you will be quoted a final
USD balance based on a forward contract that we will put in place on your behalf
and if accepted then the remaining USD amounts will be locked in and converted
at the forward rate. If you choose this option then all balances for that group
must be paid in your usual monthly tranches but any outstanding balance MUST
be paid in Full by December 2nd 2011 or earlier when the forward
USD/GBP contract will mature. Failure to pay all outstanding balances by that
date may incur additional currency conversion costs based on any balance
shortfall.
Option 2 – Remain on a Variable Rate
If your
group chooses not to take the fixed rate option then you will continue to pay as
you have been with your USD payments converted monthly at the variable rate and
a final USD balance calculated on your penultimate payment per your individual
payment schedules.
The
above response date of Friday16th September 2011 is a final
deadline for your decision and any group who does not respond either way by then
will automatically remain on the variable rate Option 2 above.

) A note from Matt at AAPAE regarding his thoughts and feedback on the
above
Dear Cindy,
Greatdays
has offered to convert the remainder of the contract to dollars for an immediate
payoff for several of our groups. Some have asked my opinion or if it makes any
sense at all to pay off the contract at current conversation rates or to
continue paying it off until completion.
First, I
note that Greatdays would be taking a risk, even in the short term. They would
be doing us a favor, because they are not naturally the kind of people who like
to speculate in the currency futures market.
I also see
that the pound to dollar conversion rate hasn’t really changed appreciably in
the last year. As of this writing, it’s $1.63 to a GBP (Great Britain
Pound). Last year this time, it was also $1.63 to a pound. Even when the USA
lost its AAA rating, the change was only to $1.64 a pound.
But…I’m
a believer in paying something off so you know what you have. If you have
the ability, you could lock in the current rate, pay it off as quickly as
possible, and then focus on your dance.

Alright- I have an email into Jill regarding the deposit situation. I
hope to have that resolved for you by tomorrow. I know everyone is on the edge
of their seats about how to pay and I just want to triple check everything.
As far as the insurance that automatically comes with tickets we issue is
death and dismemberment insurance. We also go through TravelGuard and we can
give you quotes on that insurance as well that does cover things like trip
interruption and so on.
I will have itineraries over to you for your sister and the 2 Atlanta
travelers as well. I'll send those when I send the deposit answer tomorrow. Now,
since they are not going with the group they will have to pay for their airline
tickets at time of booking. Unfortunately they do not hold how the group tickets
do.
